By using the Site or our services you consent to the practices described in this policy.

SMS & Mobile Information — In Plain Language

Phone numbers and SMS opt-in information collected by Rainier Facility Solutions will never be sold, rented, or shared with third parties or affiliates for marketing or promotional purposes. The mobile information you give us is used only to operate the SMS messaging program described in Section 7 of this policy and Section 11 of our Terms of Service.

1. Information We Collect

1.1. Information You Provide Directly

When you contact us, request a quote, fill out a form, apply for a job, or engage our services, we may collect:

  • Identifiers — your name, company or facility name, email address, mailing address, service address, and ZIP code.
  • Phone numbers & SMS consent — your mobile phone number and, if you opt in to SMS, your consent. SMS consent is captured only by the unchecked SMS consent checkbox on one of our website intake forms (the homepage "Free Deep Clean" pop-up, the Free Quote form, the Contact form, or the Careers application). We do not capture SMS opt-in by phone, in person, or through a service agreement.
  • Service details — facility type, square footage, frequency of service, scope of work, security and access instructions (keys, codes, badges), special requirements (HIPAA, OSHA, biohazard), and notes you provide.
  • Application data (Careers) — work history, references, availability, role of interest, and any other information you submit through the Careers application form.
  • Payment information — billing contact, billing address, and payment method. Full credit/debit card numbers are processed by a PCI-compliant third-party payment processor; we do not store full card numbers on our servers.
  • Communications — copies of emails, text messages, and other correspondence you send to us, and records of phone calls where required by law.

1.2. Information Collected Automatically

When you visit the Site we may automatically collect:

  • Device and browser information (browser type, operating system, screen size, language).
  • IP address and approximate geographic location derived from it.
  • Pages viewed, time spent on pages, links clicked, and referring URLs.
  • Cookies and similar technologies (see Section 6).

1.3. Information from Third Parties

We may receive information about you from public sources (such as Google Business Profile when you leave a review) or from service providers acting on our behalf (such as our payment processor or SMS service provider).

2. How We Use Information

We use the information we collect to:

  • Respond to your inquiries, provide quotes, schedule services, and bill for completed work.
  • Send transactional and operational SMS messages, emails, and phone calls related to your account and our services (see Section 7).
  • Process job applications and communicate with applicants.
  • Operate, maintain, secure, and improve the Site and our services.
  • Comply with legal obligations, protect our rights, and prevent fraud.

We do not use your information for cross-context behavioral advertising, profiling for automated decisions that produce legal effects, or marketing on behalf of unrelated third parties.

3. How We Share Information

We do not sell or rent your personal information. We share information only as follows:

  • Our team members — limited to the information needed for the cleaners, supervisors, and account managers assigned to your facility (e.g., access codes, scope notes).
  • Service providers operating on our behalf — such as our SMS service provider (for delivering the SMS messages described in Section 7), payment processor, scheduling and CRM software, hosting and email providers. These providers are contractually bound to use your information only to provide the service to us and to safeguard it appropriately.
  • Legal compliance — when we believe in good faith that disclosure is required by law, legal process, or to protect the rights, property, or safety of Rainier, our clients, our team, or the public.
  • Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.

We do not share or sell mobile phone numbers, SMS opt-in data, or SMS message content with third parties or affiliates for marketing or promotional purposes — full stop. This includes lead-generation companies, data brokers, advertising networks, and analytics platforms used for advertising. Sharing of mobile information for the purpose of operating the SMS program (such as transmission via our SMS service provider) is described in Section 7.

4. Data Retention

We retain your personal information for as long as needed to provide our services, comply with our legal and tax obligations, resolve disputes, and enforce our agreements. SMS opt-in records are retained for the duration of your subscription plus a reasonable period thereafter for compliance and audit purposes. You may request deletion as described in Section 8.

5. Security

We use reasonable administrative, technical, and physical safeguards to protect the information we collect, including encryption in transit (HTTPS) and limited access controls. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.

6. Cookies & Analytics

The Site uses cookies and similar technologies for essential functionality (e.g., remembering form state) and for limited, privacy-respecting analytics about how the Site is used. You can disable cookies in your browser at any time; some features may not work as intended without them. We do not use cookies to track you across third-party sites for advertising purposes.

7. SMS Messaging Program — A2P 10DLC Privacy Disclosures

Rainier Facility Solutions operates an SMS messaging program (the "SMS Program") used to communicate with clients, applicants, and prospective clients in connection with our services. The full SMS Program terms — including categories of messages, frequency, opt-in/opt-out methods, HELP, and message-and-data-rates disclosures — are set out in Section 11 of our Terms of Service. This Section 7 describes how we handle the privacy of mobile information collected for the SMS Program.

7.1. What Mobile Information We Collect

When you opt in to the SMS Program, we collect:

  • Your mobile phone number.
  • Your opt-in event metadata — date, time, the website intake form on which you checked the SMS consent checkbox (the homepage pop-up, Free Quote, Contact, or Careers application), the page URL where consent was given, and the IP address used.
  • The content of SMS messages exchanged between you and Rainier.
  • Delivery metadata supplied by carriers and our SMS service provider (e.g., delivered, undelivered, opt-out status).

7.2. How We Use Mobile Information

Mobile information is used solely to:

  • Send the categories of messages disclosed in our Terms of Service (service confirmations and reminders, scheduling updates, quote and billing notices, customer-support replies, emergency-dispatch coordination, and recruiting messages).
  • Demonstrate compliance with applicable laws and the A2P 10DLC framework, including maintaining proof of opt-in and honoring opt-out requests.
  • Provide customer support and resolve disputes.

7.3. How We Share Mobile Information

Rainier Facility Solutions does not sell, rent, lease, or share mobile phone numbers, SMS opt-in data, SMS message content, or SMS delivery metadata with third parties or affiliates for marketing or promotional purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time.

The only sharing of mobile information that occurs is the limited operational sharing required to deliver the SMS Program itself. This includes:

  • Transmission of message content and your phone number to our SMS service provider (and its underlying carriers) for the sole purpose of routing messages to and from your device.
  • Disclosure to law enforcement or in response to legal process when required by law.

Our SMS service provider is contractually prohibited from using mobile information for any purpose other than providing the service to Rainier.

7.4. Your Choices Regarding the SMS Program

  • Opt out at any time by replying STOP to any Rainier SMS message. Other accepted opt-out keywords: STOP, END, CANCEL, UNSUBSCRIBE, QUIT.
  • Get help by replying HELP to any message, calling 253-447-5676, or emailing hello@rainierfacilitysolutions.com.
  • Use Rainier without SMS. Consent to receive SMS is not a condition of receiving our services. You can request quotes and schedule services entirely by phone, email, or in writing.

7.5. Message & Data Rates

Message and data rates may apply based on your wireless plan. Rainier does not charge for SMS messages.

8. Your Rights & Choices

Depending on where you live, you may have rights regarding your personal information under laws such as the Washington My Health My Data Act, the California Consumer Privacy Act (CCPA/CPRA), or other state privacy laws. These rights may include:

  • The right to know what personal information we have collected about you and how we use it.
  • The right to request a copy of that information.
  • The right to request correction of inaccurate information.
  • The right to request deletion of your personal information.
  • The right to opt out of "sales" or "shares" of personal information for cross-context behavioral advertising. Rainier does not sell or share personal information for these purposes.
  • The right to non-discrimination for exercising your privacy rights.

To exercise these rights, contact us using the information in Section 13. We may need to verify your identity before fulfilling certain requests.

9. Children's Privacy

The Site and SMS Program are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us so we can delete it.

10. International Users

The Site is operated from the United States and intended for users in Washington and the broader Greater Seattle Area. If you access the Site from outside the United States, you understand that your information will be transferred to and processed in the United States.

The Site may link to third-party services such as Google Maps, Google Business Profile (for reviews), and the like. We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy notices.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes affecting the SMS Program will be communicated as described in Section 11.11 of our Terms of Service.
